location-based facility asset management

confidential municipality

the need

Preventing the loss of institutional knowledge about facility assets by capturing and managing it in an asset and maintenance management system was an early driver for our client, a municipality in Minnesota (“the city”). Their staff have been retiring and much of the asset information has been walking out the door with them. Other key business drivers were improving maintenance response times and capital forecasting. Combined with public works, engineering, parks and recreation, GIS, and IT departments, the city is managing approximately 210,000 assets broken out into 45 different asset types.

This project was focused on optimizing facility asset management indoor assets for two large recreational facilities via a range of services including consulting on best practices, collecting, inventorying, assessing and storing resulting facility inventory and condition data in a GIS-based asset management system (Cartegraph OMS).

The main goals of this project were to:

  • Reduce use of paper documents and numerous spreadsheets.

  • Mitigate loss of institutional knowledge.

  • Create a central data source for facility asset inventory.

  • Provide the city with better tool for operations and capital forecasting.

the solution

Patrick worked with the city to create buy-in and develop plan for indoor facility asset inventory and data integration into their ArcGIS and Cartegraph OMS enterprise solutions. Steps included conducting the facility inventory and assessment, performing data readiness tasks, data mapping and population for the city’s Ice Center and Fieldhouse facilities.

In addition to technology solutions and asset/facility management business process expertise, the Patrick team provided highly skilled asset inventory and condition assessment services. Solution highlights included:

  • Introduce an indoor location-based approach for facility asset inventory and condition assessment and deliver resulting inventory and assessment report.

  • Develop data readiness workflow for integrating indoor facility asset data with client’s Cartegraph OMS.

  • Build and populate ArcGIS indoor geodatabase with city floorplans and facility asset data.

  • Deliver populated facility asset and floor plan data layers via ArcGIS Pro project and geodatabase fully enabled and ready for Cartegraph integration and publication by ArcGIS Enterprise.

the benefits

Patrick combined its experienced facility inventory and condition assessment professionals with those of a leading service provider to quickly and efficiently collect facility data using a novel location-based approach. This approach directly supported the GIS and Cartegraph system integration. Early goals and value delivered thus far include:

  • Time savings from consolidation of data management workflow and process steps.

  • Improved operations and maintenance response times.

  • More accurate and reliable capital forecasting and budgeting.
